How a retail chain runs on Bizflow

One packet, ordered, stocked, and sold.

An illustrative chain of four neighbourhood supermarkets with a central store. Each step starts from the one before it, so every packet sold traces back to the order it came in on.

Purchase orders

Built for the shop floor, not just head office.

Cashiers, supervisors, and branch managers work in the branch. Head office sees stock, branches, and customers across the chain, live.

In the branch

  • Confirm transfers from the central store
  • Record damage when stock arrives
  • Ask for cash for bags and cleaning
  • Snap receipts for every small buy

At head office

  • Stock in every branch and the central store
  • Low stock flagged per branch
  • Daily sales reports
  • Price changes approved at the till
  • Account customers and what they owe
  • Branch budgets and petty cash
  • Staff limited to their own branch

KRA-certified eTIMS integrator

eTIMS on every receipt, in every branch.

Every sale is a tax sale, and every branch buys from suppliers. Bizflow keeps both sides right with KRA.

How Bizflow handles eTIMS
  • eTIMS on every till receipt

Every receipt is signed by KRA eTIMS when the sale is made, with the QR code printed for the customer.

  • Credit notes for refunds

Refunds are credited through eTIMS, with the KRA reason, against the original receipt.

  • Supplier invoices straight from KRA

eTIMS invoices your suppliers issue to your KRA PIN come into Bizflow as purchases. Match them to the PO and delivery, and only valid invoices count toward input VAT.

  • A receipt for every branch spend

Every petty cash payment from a branch has a receipt, posted to that branch's budget and the right account.

  • Buyer-initiated invoices

Buying fresh produce from farmers who can't issue eTIMS invoices? Raise the invoice for them. They accept it, KRA signs it, and the spend is backed by an eTIMS invoice.

  • One VAT summary before the 20th

Your eTIMS sales and purchases feed one VAT summary: output VAT, input VAT, and what you will pay, with every invoice behind each figure.

Frequently asked questions

Does every receipt go through eTIMS?

Yes. Every till receipt is signed by KRA eTIMS when the sale is made, and the QR code is printed on the receipt. Bizflow is a KRA-certified eTIMS integrator. You can also raise buyer-initiated invoices for suppliers who can't issue their own.

Can we run several branches?

Yes. Each branch has its own stock, tills, and petty cash budget. Head office sees every branch, and staff see only their own.

Can we stock branches from a central store?

Yes. Deliveries come into the central store, and transfers send stock to the branches. Each branch confirms what arrived and records anything damaged.

Which payments can the till take?

Cash, card, and M-PESA. For M-PESA the customer gets a prompt on their phone, or the cashier enters the transaction code.

Do you have loyalty points?

Yes. Customers earn points on every receipt, and their balance prints on the receipt.

Can customers buy on account?

Yes. Schools, offices, and regulars can buy on account within a limit, get a monthly statement, and pay by paybill or bank.

Can cashiers change prices?

Only with a supervisor's approval. The supervisor enters their PIN on the till, and the reason is kept on the sale.

Does it work with our accounting system?

Yes. Bizflow syncs expenses, petty cash, bills, invoices, and customer payments to QuickBooks Online or Zoho Books, and brings your chart of accounts, tax rates, suppliers, and customers across. Or keep the whole ledger in Bizflow, with journals, bank reconciliation, trial balance, profit and loss, balance sheet, and cash flow.

The plan that fits a retailer.

Retailers usually start on Growth for eTIMS, purchase orders, bills, and payment reconciliation, and add point of sale and inventory for their tills and stock. Chains with several approval levels move to Business.
