Everything a factory runs on Bizflow

From the supplier's coil to the distributor's invoice.

One system for procurement, stores, the production floor, and finance. Start with purchasing and stock, and add production and payroll batches when you're ready.

How a production run works on Bizflow

One coil, bought, made, and sold.

An illustrative roofing-sheet factory, from importing steel coil to the margin on each sheet sold. Each step starts from the one before it, so every sheet's cost traces back to the coil it was made from.

Purchase orders

Built for the factory floor, not just the office.

Storekeepers and line supervisors work from their phones on the factory floor. Finance and directors see stock, production, and margin, live.

On the factory floor

  • Receive coil and record lots at the gate
  • Issue consumables to each crew
  • Write off damaged stock with a photo
  • Ask for cash for urgent spares

In the office

  • Stock by lot, location, and value
  • Production runs and their scrap
  • Low-stock alerts per store
  • Adjustments waiting for approval
  • Imports valued at landed cost
  • Shift wages in one batch
  • Gross profit by product

What manufacturers ask us about most.

Imported raw materials at their true cost

Raise the PO in dollars, then add freight, insurance, and duty when the shipment lands. Stock is valued at its landed cost, so every product's margin starts from the right number.

  • ✓POs in KES or US dollars
  • ✓Freight, insurance, and duty on receipt
  • ✓Short deliveries recorded
  • ✓eTIMS imports read and matched

  • ✓Lot numbers on receipt
  • ✓Transfers between stores
  • ✓Damage and wastage approved before posting

KRA-certified eTIMS integrator

eTIMS on imports, purchases, and sales.

Manufacturers import raw materials, buy from many local suppliers, and sell in volume. Bizflow keeps every side right with KRA.

How Bizflow handles eTIMS
  • Sales invoices through eTIMS

Every invoice to a distributor or hardware store is signed by KRA eTIMS when it is sent, with VAT at 16%.

  • Supplier invoices straight from KRA

eTIMS invoices your suppliers issue to your KRA PIN, and the items you import, come into Bizflow from KRA. Match them to the PO and delivery, and only valid invoices count toward input VAT.

  • Supplier documents

KRA PINs, tax compliance certificates, and contracts kept on each supplier, with reminders before they expire.

  • A receipt for every wage line

Every shift worker paid by M-PESA has a receipt code, posted to the labour budget and the right account.

  • Buyer-initiated invoices

Buying scrap metal or packaging from small suppliers who can't issue eTIMS invoices? Raise the invoice for them. They accept it, KRA signs it, and the spend is backed by an eTIMS invoice.

  • One VAT summary before the 20th

Your eTIMS sales and purchases feed one VAT summary: output VAT, input VAT, and what you will pay, with every invoice behind each figure.

What does a little extra waste really cost?

Factory margins slip a little at a time: a few more sheets scrapped, coil that cost more to land, consumables nobody counted. Try it with your own numbers.

Margin you priced24.3%
Margin after overrun22.0%
Profit lostKES 27,964

A 3% overrun on cost takes this production run from 24.3% to 22.0% margin. Bizflow checks every request and order against the budget before the money is committed.

Frequently asked questions

Can Bizflow record production?

Yes. Start a manufacturing order from a bill of materials, and when the run is complete, the materials are used up, the finished goods are added to stock, and the scrap is recorded.

Can we buy in one unit and use in another?

Yes. Set a base unit and a purchase unit for each item, for example buy coil in tonnes and use it in kilograms. Bizflow converts between them.

How are imported materials costed?

Raise the PO in US dollars, then add freight, insurance, and customs duty when you receive the goods. The landed cost is added to the stock value, and flows into cost of goods.

Can we track lots and serial numbers?

Yes. Record lot numbers, serial numbers, and expiry dates when you receive stock, and see which lot went where.

How do we handle damaged or wasted stock?

Record an adjustment with the category, the reason, and a photo. It only posts once it has been approved.

Can we run several stores or warehouses?

Yes. Keep stock by location, transfer between stores, and see what each one holds and what it is worth.

Do we get margin per product?

Yes. Stock valuation, cost of goods, and gross profit reports show the margin on each product.

Does it handle eTIMS?

Yes. Bizflow is a KRA-certified eTIMS integrator. Sales invoices are signed when they are sent, and imported items and supplier invoices are read from eTIMS and matched. You can also raise buyer-initiated invoices for suppliers who can't issue their own.

Does it work with our accounting system?

Yes. Bizflow syncs expenses, petty cash, bills, invoices, and customer payments to QuickBooks Online or Zoho Books, and brings your chart of accounts, tax rates, suppliers, and customers across. Or keep the whole ledger in Bizflow, with journals, bank reconciliation, trial balance, profit and loss, balance sheet, and cash flow.

The plan that fits a manufacturer.

Manufacturers usually start on Growth for purchase orders, bills, bulk payments, and eTIMS, and add point of sale and inventory for stock and production. Those importing raw materials move to Business for eTIMS imports and the VAT summary.
