Everything a professional services firm runs on Bizflow

From the proposal to the last milestone invoice.

One system for partners, engagement managers, consultants in the field, and finance. Start with proposals and engagement budgets, and add the rest when you're ready.

How an engagement runs on Bizflow

One engagement, proposed, delivered, and billed.

An illustrative management consultancy running a three-phase operations review for an insurer. Each step starts from the one before it, so every cost and invoice traces back to the proposal the client accepted.

KRA-certified eTIMS integrator

eTIMS on every invoice and every purchase.

Professional fees are VAT-able, and so are the associates, venues, and travel you pay for. Bizflow keeps both sides right with KRA.

How Bizflow handles eTIMS
  • Every invoice through eTIMS

Milestone invoices and retainers are signed by KRA eTIMS when they are sent, with VAT at 16%.

  • Supplier invoices straight from KRA

eTIMS invoices your associates and suppliers issue to your KRA PIN come into Bizflow as purchases. Match them to the engagement, and only valid invoices count toward input VAT.

  • Buyer-initiated invoices

Paying field enumerators or a translators' group who can't issue eTIMS invoices? Raise the invoice for them. They accept it, KRA signs it, and the spend is backed by an eTIMS invoice.

  • Associate and supplier documents

KRA PINs, tax compliance certificates, and contracts kept on each associate and supplier, with reminders before they expire.

  • Credit notes when scope changes

Credit an invoice through eTIMS, with the KRA reason, against the original invoice.

  • One VAT summary before the 20th

Your eTIMS sales and purchases feed one VAT summary: output VAT, input VAT, and what you will pay, with every invoice behind each figure.

Frequently asked questions

Can we track each engagement's budget and margin?

Yes. Each engagement is a project with its fee, a budget for associates, travel, and delivery costs, and a live margin forecast. Every bill and expense is charged to it.

Can we invoice by milestone?

Yes. Price the work by phase in the proposal, and when a phase is delivered, invoice it from the proposal, signed by eTIMS.

Do you handle retainers?

Yes. Set up a recurring invoice for each retainer, monthly, quarterly, or yearly. Bizflow raises it on schedule and reminds the client before it is due.

How do we pay associate consultants?

Associates invoice you. Bizflow checks the invoice on KRA eTIMS, charges it to the engagement, and you pay it by bank or M-PESA.

How do travel and expenses work?

Consultants claim per diems and expenses from their phones, charged to the engagement, with receipts attached and approved by the engagement manager.

Is there a page for law firms or agencies?

Yes. Law firms and marketing agencies each have their own page, with matters, disbursements, and fee notes for law firms, and briefs, event costs, and crew payments for agencies.

Does it handle eTIMS?

Yes. Bizflow is a KRA-certified eTIMS integrator. Invoices are signed when they are sent, supplier invoices issued to your KRA PIN come into Bizflow, and you can raise buyer-initiated invoices for suppliers who can't issue their own.

Does it work with our accounting system?

Yes. Bizflow syncs expenses, petty cash, bills, invoices, and customer payments to QuickBooks Online or Zoho Books, and brings your chart of accounts, tax rates, suppliers, and customers across. Or keep the whole ledger in Bizflow, with journals, bank reconciliation, trial balance, profit and loss, balance sheet, and cash flow.
