How the money moves at a lodge on Bizflow

From the supplier's invoice to the guest's payment.

An illustrative lakeside lodge with a restaurant, a bar, and weekend weddings. Each step starts from the one before it, so every shilling spent is charged to a department and every shilling collected is matched.

KRA-certified eTIMS integrator

eTIMS on guest bills and supplier invoices.

Hospitality buys from many small suppliers and sells to guests and corporate clients every day. Bizflow keeps both sides right with KRA.

How Bizflow handles eTIMS
  • eTIMS on guest bills and invoices

Guest receipts and corporate invoices are signed by KRA eTIMS, with VAT at 16%.

  • Supplier invoices straight from KRA

eTIMS invoices your food, drink, and service suppliers issue to your KRA PIN come into Bizflow as purchases. Match them to the PO and delivery, and only valid invoices count toward input VAT.

  • Supplier documents

KRA PINs, tax compliance certificates, and contracts kept on each supplier, with reminders before they expire.

  • A receipt for every casual

Every waiter and casual paid by M-PESA has a receipt code, posted to the event or department and the right account.

  • Buyer-initiated invoices

Buying from market traders and farmers who can't issue eTIMS invoices? Raise the invoice for them. They accept it, KRA signs it, and the spend is backed by an eTIMS invoice.

  • One VAT summary before the 20th

Your eTIMS sales and purchases feed one VAT summary: output VAT, input VAT, and what you will pay, with every invoice behind each figure.

Frequently asked questions

Can each department have its own budget?

Yes. Set a monthly budget for the kitchen, bar, housekeeping, maintenance, or any department. Every request and order is checked against it, and spending over needs approval.

How do market buys work?

The chef requests the money from their phone, it is approved, and they pay the trader by M-PESA. The spend is charged to the kitchen's budget, and the receipt is snapped on the spot.

Can we pay casual and event staff in one go?

Yes. Upload the list of waiters and casuals, check numbers and duplicates, approve once, and pay everyone to M-PESA, charged to the event or department.

How do guests pay?

By M-PESA, with a prompt sent to their phone at the table or desk, or by card or cash. Corporate clients get an eTIMS invoice and can pay from a payment link.

Can we track the cost of weddings and conferences?

Yes. Cost each event as a project, with its budget, quoted price, deposits, and every cost charged to it, so you see the margin on every event.

Do you reconcile M-PESA and card payments?

Yes. M-PESA, card settlements, and bank statements are matched against what was recorded, and anything that doesn't match is flagged for a look.

Does it handle eTIMS?

Yes. Bizflow is a KRA-certified eTIMS integrator. Guest receipts and invoices are signed, and supplier invoices are checked with KRA before you pay. You can also raise buyer-initiated invoices for suppliers who can't issue their own.

Does it work with our accounting system?

Yes. Bizflow syncs expenses, petty cash, bills, invoices, and customer payments to QuickBooks Online or Zoho Books, and brings your chart of accounts, tax rates, suppliers, and customers across. Or keep the whole ledger in Bizflow, with journals, bank reconciliation, trial balance, profit and loss, balance sheet, and cash flow.
