How a job runs on Bizflow

From the brief to the last stage invoice.

Each step starts from the one before it, so a site request, a purchase order, and a stage invoice all trace back to the same estimate.

Briefs and estimates

Built for the site, not just the office.

Site engineers and storekeepers work from their phones. Finance and directors see every job against its budget, live.

On site

  • Request materials with the budget check built in
  • Count deliveries and photograph the delivery note
  • Snap receipts for fuel and small buys
  • Fix a failed wage line from the phone

In the office

  • Every job against its budget, live
  • Approvals routed by amount and project
  • Bills paid only when they match
  • Wage batches approved in one go
  • Supplier documents tracked with reminders
  • Fuel and repairs tagged to each machine
  • Who changed what, on every record

Running several sites at once

Four sites, one view of the money.

An illustrative contractor with four live jobs and one director. Each site spends against its own budget, and the office sees all of them in one place.

  1. Monday, 8:00The director opens two dashboardsProjects shows 4 active jobs, 1 at risk, and 34% of the budget used. Finance shows what clients owe, what suppliers are due, and the week's cash flow.
  2. On each siteEvery site spends its own budgetRequests are checked against that job's budget lines, so Upper Hill's overrun can't quietly use Karen's money. A job that needs more asks for a supplementary budget.
  3. ApprovalsThe right project manager approvesApproval routes can go to the manager of that job first, then to finance above a limit, so the director isn't the bottleneck for five sites.
  4. ThursdayOne supplier, three jobs, one payment runEach PO, delivery, and bill is tagged to its project. Finance pays the supplier once, and every job's spend stays right.
  5. SaturdayEach crew paid against its own jobCasual wages run as a batch per site, charged to that site's labour line. Fuel and repairs for shared plant are tagged to the machine.
  6. Month endWhich job made money, not just whether the firm didAfter reconciliation, each project shows its estimate against actual, and the receivables ageing shows which client is holding back cash.

Every job's budget and spend, which one is at risk, and the margin each was priced at. Filter by period.

KRA-certified eTIMS integrator

eTIMS on materials and stage invoices.

Contractors buy a lot of VAT-able materials and invoice big stages. Bizflow keeps both sides right with KRA.

How Bizflow handles eTIMS
  • Supplier invoices straight from KRA

eTIMS invoices your hardware stores and subcontractors issue to your KRA PIN come into Bizflow as purchases. Match them to the PO and delivery, and only valid invoices count toward input VAT.

  • Stage invoices through eTIMS

Each stage invoice is signed by KRA eTIMS when it is sent, with VAT at 16%.

  • Subcontractor documents

Tax compliance certificates, licences, and insurance are kept on each subcontractor and supplier, with reminders before they expire.

  • A receipt for every wage line

Every casual worker paid by M-PESA has a receipt code, posted to the job and the right account.

  • Buyer-initiated invoices

Buying sand, ballast, or timber from a small supplier who can't issue eTIMS invoices? Raise the invoice for them. They accept it, KRA signs it, and the spend is backed by an eTIMS invoice.

  • One VAT summary before the 20th

Your eTIMS sales and purchases feed one VAT summary: output VAT, input VAT, and what you will pay, with every invoice behind each figure.

What does a small overrun really cost?

Most of a contractor's margin is lost a little at a time: a price that crept up, a delivery paid twice, a wage line nobody checked. Try it with your own numbers.

Margin you priced16.7%
Margin after overrun12.5%
Profit lostKES 170,000

A 5% overrun on cost takes this job from 16.7% to 12.5% margin. Bizflow checks every request and order against the budget before the money is committed.

Frequently asked questions

Will my site team actually use it?

Site engineers raise requests, record deliveries, and snap receipts from the Bizflow app. The forms are short, the budget check is automatic, and nobody needs to log in to a laptop on site.

Can I track costs by job and by section?

Yes. The approved estimate's sections become the job's budget lines. Every request, PO, bill, expense, and wage batch is charged to a line, so you see estimate against actual for each one.

How do casual wages work?

Upload the week's list or reuse last week's, check the numbers, approve once, and Bizflow pays every worker to M-PESA. Failed lines can be fixed and resent on their own.

What if a supplier delivers half the order?

Record what arrived. The PO stays open for the rest, the bill covers only what was accepted, and broken items go back with a credit note request.

How are change orders handled?

Record the extra work with its cost and price. Once approved, the job's budget line and the client's price update, and the margin forecast moves with them.

Does it handle eTIMS?

Yes. Bizflow is a KRA-certified eTIMS integrator. Supplier invoices are matched with KRA before you pay, and your stage invoices are signed when they are sent. You can also raise buyer-initiated invoices for suppliers who can't issue their own.

Can I start with one site?

Yes. Many contractors start with requisitions and bills on one job, then add wages, estimates, and stage invoicing.

Does it work with our accounting system?

Yes. Bizflow syncs expenses, petty cash, bills, invoices, and customer payments to QuickBooks Online or Zoho Books, and brings your chart of accounts, tax rates, suppliers, and customers across. Or keep the whole ledger in Bizflow, with journals, bank reconciliation, trial balance, profit and loss, balance sheet, and cash flow.
