Every purchase starts with a checked request.
Staff request goods, services, or cash against a project or department budget. Bizflow checks the budget, gets quotes, routes approvals, and turns the request into a purchase order or a payment you can reconcile.

Know what's being bought before the money is committed.

✕Purchases are agreed on calls, and the budget is checked after the money is gone.
✓Every item checks its own project or department budget line as the request is created.
✕Suppliers are picked by habit, with one quote or none.
✓Quotes are compared side by side, and the choice is recorded with a reason.
✕Cash given for site costs is never fully accounted for.
✓Cash requests are reconciled with receipts, and the balance comes back to the wallet.
Request, check, buy, reconcile.
From the first request to the purchase order or the last receipt, every step is checked against the budget and kept on record.
Two paths, one record.
Goods and services become purchase orders. Cash requests are paid out and reconciled with receipts. Both start with the same budget check and approval.

Frequently asked questions
What can staff request?
Goods, services, or cash. Goods and services usually become purchase orders. Cash is paid out by M-PESA and then reconciled with receipts.
Can one requisition cover several budget lines?
Yes. Each item in a requisition can draw from a different budget line, for example partitions, electrical, and paint on the same project. Bizflow checks each line separately and shows which one is over.
How does project budget control work?
When a request is created, it is tagged to a project or department budget line. Bizflow shows what is used, committed, and left, and blocks the request if it doesn't fit. The requester can reduce it or ask for a supplementary budget.
Can we compare supplier quotes?
Yes. Add quotes from several suppliers, compare them line by line with delivery, payment terms, eTIMS status, and past orders, and record the reason for your choice.
How does a requisition become a purchase order?
Once approved, convert it in one click. The lines, chosen supplier, and delivery details carry over, and the budget is committed. A request can be split into purchase orders for different suppliers.
How are cash requisitions reconciled?
The requester adds receipts for what was spent, and returns any balance to the Bizflow Wallet. Requests not reconciled by the deadline are flagged.
Can I ask Claude about requisitions?
Yes. Connect Bizflow to Claude and ask about pending requests, budgets, quotes, and cash in plain English.
