Sound familiar?

Month end shouldn't start with a chase.

Finance teams tell us the same things: the controls live in people's heads, the evidence lives in WhatsApp, and month end lives in Excel. Here is what changes.

  • “The approval rules live in people's heads.”

Rules enforced before money movesApproval routes by amount, department, and project, and budgets checked on every request, PO, and payment.
  • “We spend the first week of the month matching statements.”

Statements matched as payments landBank, M-PESA, and the Wallet matched by amount, reference, and payee, with only the odd line left for a look.
  • “Supplier bills don't match what was ordered.”

Bills matched to PO and deliveryEach bill is checked against its PO, what was received, and KRA eTIMS before it can be approved.
  • “Receipts arrive weeks late, or never.”

Receipts collected at the sourceStaff snap receipts when they spend, and Bizflow chases the missing ones until they come in.
  • “We find overspending after the money is gone.”

Budgets checked before commitmentRequests that would overspend are stopped, and extra budget needs approval.
  • “The auditor asks for evidence we can't find.”

Evidence attached to every paymentQuotes, approvals, receipts, and eTIMS invoices stay with each record, and every change is logged.

KRA-certified eTIMS integrator

Input VAT you can defend.

Input VAT is only as good as the invoices behind it. Bizflow checks every purchase against KRA eTIMS and flags what would cost you before you file.

How Bizflow handles eTIMS
  • Supplier invoices straight from KRA

eTIMS invoices issued to your KRA PIN come into Bizflow as purchases, matched to the PO, bill, or expense.

  • Input VAT at risk, flagged

Bills, expenses, and petty cash without a valid eTIMS invoice are flagged before the return, so you can request them.

  • Buyer-initiated invoices

For suppliers who can't issue eTIMS invoices, raise the invoice for them. They accept it and KRA signs it.

  • Sales signed on the way out

Invoices and credit notes are signed by eTIMS when they are sent, so output VAT matches what KRA sees.

  • Imports and adjustments

Imported items read from KRA and stock adjustments kept in step with eTIMS.

  • One VAT summary before the 20th

Your eTIMS sales and purchases feed one VAT summary: output VAT, input VAT, and what you will pay, with every invoice behind each figure.

Control

Controls that hold, evidence that stays.

Every rule is enforced before money moves, and every decision is recorded, so the audit is a report, not a project.

  • Approval rulesBy amount, department, and project, with multi-level routes and delegation.
  • Budget checksEvery request, PO, and payment checked against the budget before it is committed.
  • Roles and separation of dutiesThe person who requests can't approve their own request or release the payment.
  • Audit trailEvery change and decision recorded, with the evidence attached.

Frequently asked questions

Can approval rules differ by amount and department?

Yes. Set routes by amount, department, project, and request type, with several levels on the Business plan and delegation when someone is away.

How does reconciliation work?

M-PESA and Wallet payments match as they land. Upload bank statements and Bizflow matches by amount, reference, and payee, suggests matches for the rest, and saves rules for lines that repeat.

Can we stop bills being paid before goods arrive?

Yes. Bills are matched to the PO and what was received before they can be approved, and supplier invoices are checked on KRA eTIMS.

Can we lock a month once it is closed?

Yes. Close and lock the month, and posting into a closed month needs approval. Year-end close is supported too.

Is there an audit trail?

Yes, on the Business plan. Every request, approval, payment, and change is recorded with the evidence attached, and sensitive changes are flagged.

Does it work with our accounting system?

Yes. Bizflow syncs expenses, petty cash, bills, invoices, and customer payments to QuickBooks Online or Zoho Books, and brings your chart of accounts, tax rates, suppliers, and customers across. Or keep the whole ledger in Bizflow, with journals, bank reconciliation, trial balance, profit and loss, balance sheet, and cash flow.

Does it handle eTIMS?

Yes. Bizflow is a KRA-certified eTIMS integrator. Supplier invoices issued to your KRA PIN come into Bizflow, sales are signed, and the VAT summary is ready before the 20th.
