Everything a law firm runs on Bizflow

From the client's instruction to the fee note.

One system for partners, associates, clerks, and accounts, from a two-partner practice to a firm with several offices. Start with matters and disbursements, and add fee notes and retainers when you're ready.

How a matter runs on Bizflow

One matter, opened, run, and billed.

An illustrative commercial claim for a logistics client. Each step starts from the one before it, so every court fee, outside cost, and fee note traces back to the matter.

KRA-certified eTIMS integrator

eTIMS on fee notes and supplier bills.

Legal fees are VAT-able, and so are the experts, rent, and research you pay for. Bizflow keeps both sides right with KRA.

How Bizflow handles eTIMS
  • Fee notes through eTIMS

Every fee note is signed by KRA eTIMS when it is sent, with VAT at 16%.

  • Supplier invoices straight from KRA

eTIMS invoices your experts, landlords, and service providers issue to your KRA PIN come into Bizflow as purchases. Match them to the PO and delivery, and only valid invoices count toward input VAT.

  • Supplier documents

KRA PINs, tax compliance certificates, and contracts kept on each expert and supplier, with reminders before they expire.

  • A receipt for every disbursement

Every court fee and disbursement paid by M-PESA has a receipt code, posted to the matter and the right account.

  • Buyer-initiated invoices

Paying a small supplier, like a local courier or translator, who can't issue eTIMS invoices? Raise the invoice for them. They accept it, KRA signs it, and the spend is backed by an eTIMS invoice.

  • One VAT summary before the 20th

Your eTIMS sales and purchases feed one VAT summary: output VAT, input VAT, and what you will pay, with every invoice behind each figure.

Frequently asked questions

What size of firm is Bizflow for?

Small and mid-size firms, from a sole practitioner or a two-partner practice to a firm with several offices and its own accounts team. It suits firms that want matters, disbursements, fee notes, and their books in one place without an enterprise practice management system. Bizflow is built in Nairobi for African firms, with KRA eTIMS and M-PESA for firms in Kenya.

Can we run each matter separately?

Yes. Each matter is a project with its own budget, disbursements, bills, and fee notes, all tied to the client.

How do disbursements work?

Clerks and associates pay court fees, process servers, and travel from petty cash, by M-PESA or paybill. Each payment is checked against the matter's budget and kept with its receipt, so you can add it to the fee note.

Can we bill fixed fees by stage?

Yes. Quote the fee by stage, and when the client accepts, bill each stage from the quote as a fee note signed by eTIMS.

Do you handle retainers?

Yes. Set up a recurring invoice for each retainer, monthly, quarterly, or yearly. Bizflow raises it on schedule and reminds the client before it is due.

How do clients pay?

By paybill with the fee note number, by bank, or from the payment link on the fee note. Bizflow matches each payment and updates the client's statement.

Does it handle eTIMS?

Yes. Bizflow is a KRA-certified eTIMS integrator. Fee notes are signed when they are sent, and supplier invoices are checked with KRA before you pay. You can also raise buyer-initiated invoices for suppliers who can't issue their own.

Who approves spending?

Set approval routes by amount, so a clerk's court fees go through quickly and larger costs go to a partner. Partners can delegate when they are away.

Can I start with one practice area?

Yes. Many firms start with disbursements on their litigation matters, then add fee notes, retainers, and supplier bills.

Does it work with our accounting system?

Yes. Bizflow syncs expenses, petty cash, bills, invoices, and customer payments to QuickBooks Online or Zoho Books, and brings your chart of accounts, tax rates, suppliers, and customers across. Or keep the whole ledger in Bizflow, with journals, bank reconciliation, trial balance, profit and loss, balance sheet, and cash flow.
