Everything an NGO's finance team runs on Bizflow

From the grant agreement to the donor report.

One system for programme staff in the field, procurement, finance, and the country director. Start with one grant and add the rest as new funding comes in.

How a grant runs on Bizflow

One grant, from budget to audit.

An illustrative maternal health programme in Kisumu and Siaya, funded by a two-year grant. Each step starts from the one before it, so every shilling traces back to the donor budget line it was spent against.

Projects

Built for the field, not just the country office.

Field officers request cash, claim per diems, and snap receipts from their phones. Finance and the country director see every grant against its budget, live.

In the field

  • Request fuel and small buys on the phone
  • Claim per diems for field trips
  • Snap receipts in the field
  • Approve requests from the road

At the country office

  • Every grant against its budget lines
  • Spending ahead of time flagged
  • Three quotes behind every PO
  • Approvals by amount and grant
  • Stipends paid in one batch
  • Receipts kept with every payment
  • Who approved what, on record

KRA-certified eTIMS integrator

Ready for KRA and the donor audit.

Donors expect every expense to be backed by a valid receipt and a clear approval. Bizflow keeps the paperwork right with KRA and ready for the auditor.

How Bizflow handles eTIMS
  • Supplier invoices straight from KRA

eTIMS invoices your suppliers issue to your KRA PIN come into Bizflow as purchases, so every expense the donor sees is backed by a valid invoice.

  • Buyer-initiated invoices

Buying from a farmers' group or community supplier who can't issue eTIMS invoices? Raise the invoice for them. They accept it, KRA signs it, and the spend is backed by an eTIMS invoice.

  • A receipt for every stipend and per diem

Every volunteer and field officer paid by M-PESA has a receipt code, posted to the grant line and the right account.

  • Supplier documents

KRA PINs, tax compliance certificates, and contracts kept on each supplier, with reminders before they expire.

  • Three quotes on record

Supplier quotes and the reason for the choice are kept with each PO, the way most donor procurement rules ask.

  • A full audit trail

Who requested, approved, paid, and changed anything is recorded on every payment, ready for the auditor.

Frequently asked questions

Can we track spending by grant and donor budget line?

Yes. Each grant is a project with the donor's budget lines. Every request, purchase, per diem, petty cash payment, and stipend is charged to a line, so you see budget against actual for each one.

Can we run several grants at once?

Yes. Each grant has its own budget lines and approvals, and finance sees all of them side by side.

How do per diems work?

Staff add the trip type, dates, and destinations, and the claim is charged to the grant's travel line. Receipts and approvals stay with the claim.

Can we enforce three quotes?

Record each supplier's quote against the requisition, compare them, and note why one was chosen before converting it to a PO. The quotes stay with the payment for the audit.

How do we pay community volunteers?

Upload the month's list, check numbers and duplicates, approve once, and Bizflow pays everyone to M-PESA, charged to the stipends line. Failed lines can be fixed and resent.

Is there an audit trail?

Yes, on the Business plan. Who requested, approved, paid, and changed anything is recorded on every payment, with the quotes and receipts attached.

Does it handle eTIMS?

Yes. Bizflow is a KRA-certified eTIMS integrator. Supplier invoices issued to your KRA PIN come into Bizflow, and you can raise buyer-initiated invoices for community suppliers who can't issue their own.

Does it work with our accounting system?

Yes. Bizflow syncs expenses, petty cash, bills, invoices, and payments to QuickBooks Online or Zoho Books, and brings your chart of accounts, tax rates, suppliers, and customers across. Or keep the whole ledger in Bizflow, with journals, bank reconciliation, trial balance, profit and loss, balance sheet, and cash flow.

The plan that fits an NGO.

NGOs usually choose Business, for multi-level approvals and a full audit trail. Smaller organisations with one grant often start on Growth, which has projects with budgets, purchase orders, and bulk payments.
