Briefs and estimates

Win the job, then run it to the estimate.

Capture the client's brief, price the job by section with your own rates and markup, and share the estimate for approval. The approved estimate becomes the project budget, and the client is invoiced against it.

Project team meeting a client to go through their brief
  • ✕Estimates are built in spreadsheets that nobody looks at again.

✓The approved estimate becomes the project budget that every purchase is checked against.

  • ✕Clients approve by phone, and the agreed version gets lost.

✓Every version is kept, and the client's approval is recorded with the date and time.

  • ✕Margin is only known when the job is over.

✓Estimate, spend, and invoices are compared section by section while the job runs.

Brief, estimate, budget, invoice.

One thread from the client's first email to the final invoice, so what you priced is what you control.

The estimate becomes the scoreboard.

What you priced, what you have spent, and what you have billed, side by side for every section, while the job is still running.

Frequently asked questions

What is a brief?

The client's request for a job: what they want, where, and by when. It holds the site visit, measurements, photos, files, and questions before you price it.

Do clients see my costs and markup?

No. Clients see the price for each section and the total. Costs and markup stay with your team.

How do clients approve an estimate?

Send the estimate as a link or PDF. The approval is recorded on the estimate with the date and time, and older versions are kept.

What happens when an estimate is approved?

It becomes a project. The estimate's costs become the project's budget lines, and the billing plan becomes the invoicing schedule.

Can I invoice by stage?

Yes. Set a billing plan on the estimate, such as 20% on signing and the rest by stage, and invoice each stage when it is reached. Approved variations can be added.

Can I see estimate against actual?

Yes. Each section shows what you estimated, what has been spent and committed, and what is left, with a margin forecast for the job.

Can I ask Claude about estimates?

Yes. Connect Bizflow to Claude and ask about open estimates, markup, budgets, and what you can invoice.

Price it right, and keep it right.

Turn briefs into estimates, estimates into budgets, and budgets into invoices, without losing the margin on the way.
